Making files safe
RAID array is backed up every night.
It is important to hold only essential files in our home directories, because the backup server has limited storage space.
Storing calculation results, temporary files
If you need more space for files, use a /scratch folder (network resource from tux2 server) or /scratch_local
If you need help with th-computing (websites, accounts, etc. ) send an e-mail to: th-admin@ifj.edu.pl or talk to Rene Poncelet or Sebastian Sapeta.

If you are a guest of our department use IFJ Guest Network.
The password changes once per month, so please ask J. Mosurek(room 4201) for the password.
Employees at our department should use IFJ network.
In order to connect to the IFJ network you have to register your device at the following webpage(DSK website works only on IFJ_Guest and IFJ network).
Your password should be the same as your first password set to access the webmail server. Please send an e-mail to admin at ifj.edu.pl if you don't remember your password.
In our department we have a subscription to the Mathematica 12 program. Every of our employees have an access to use it. In order to start using it, contact with administrator to install it on your computer or laptop.
Q: I am new employee. How can I get access to services available on department?
A: Most of services are manage by our IT section DSK website
Other services like printing, SSH server, program licenses, repositories, backups or common PC problems are manage by our administrator
Q: Which wifi network should I use?
A: There are 3 wireless networks available at our department.
Q: What is kasztan and what am I suposed to do with it?
A: kasztan is our SSH server for employees. Feel free to store your files there and print your documents. To get access, contact with administrator.
Q: Where can I print my papers?
A: There are two printers in room 4208 where you can print everything you need. Here's guide about printing for employees: Printing

Step 1: Do good science.
Step 2: Complete forms 1 (zal 1) and 5 (zal 5) and email both to the secretary. Complete the forms to the best of your ability. Sign when ready. Express gratitude.
Step 3: Travel. Do more good science. Return.
Step 4: Complete form 5 (zal 5) within 1-2 weeks and email the form to the secretary. Please also send: (i) boarding passes, (ii) hotel invoices (with VAT details), and (iii) proof of conference payment fee / conference attendance certificate (if applicable). Sign when everything is ready. Express gratitude.
Step 5: Repeat.
Only the IFJ's Scientific Project Services Department (DPN) can purchase flights that are being charged to grants / IFJ accounts. Flights purchased by staff/students will not be reimbursed by the IFJ.
In the event of travel, invoices are needed. No invoice, no reimbursement. The following guidance is an overview as of Feb 2026; please see the secretary for up-to-date information or further questions.
Hotel and train invoices must contain the first and last name and must be addressed to the IFJ with the following VAT details:

For invoices / receipts issued by companies outside the EU, it is sometimes difficult to add VAT information. Travelers are encouraged to be creative.
Tickets purchased at a railway station ticket office or from a conductor on the train are considered invoices. For tickets purchased online, please select the invoice option and include the above VAT details.
For invoices submitted via the “National e-Invoicing System” (KSeF), this information should preferably be included in the field “Role of entity 3” in the structured dictionary – “11” – “Employee”. This information is necessary to identify the invoice in the DZI Department. After the invoice has been issued, please confirm whether it has been submitted through KSeF.
Packages addressed to the Institute are delivered to the Chancellery (Kancelaria Ogólna, ground floor). If you place an order, make sure to include your name and surname. When the package arrives, people working there will contact you.

For permanent staff at the IFJ, the academic ranks are as follows:
– Adiunkt, fixed-term or indefinite contract (UK: Lecturer, US: Assistant Professor without or with tenure)
– Adiunkt habilitowany, i.e., with habilitation (US: Associate Professor)
– Profesora Instytutu/Uniwersytetu, Institute Professor at PAN institutes / University Professor at universities (US: somewhere between Associate and Full Professor)
– Profesora (US: somewhere between Full and Distinguished Professor)
In Poland, a habilitation degree recognizes a single work or a series of works with a unifying theme that (a) carries substantial scientific impact and (b) was completed after a PhD was awarded. Habilitation packets are submitted to the Ministry of Education for a review by a panel of external experts. The review period takes about 9-12 months. If approved, the degree is awarded by a degree-granting PAN institute (e.g., the IFJ) or a university. A similar procedure follows the professor degree for work completed after a habilitation was awarded. IFJ guidance on the process is available from guide_career_path_professor_formal-procedure.pdf.

– dr hab. Richard Ruiz (2024)
At the IFJ,
– promotion to Adiunkt habilitowany is automatic upon awarding of the habilitation degree.
– promotion to Profesora Instytutu requires (usually) a habilitation degree.
– promotion to Profesora requires (usually) a professor degree.
For permanent IFJ staff employed directly by the institute (i.e., not via a grant), base salaries are adjusted/corrected by a seniority bonus of +1% per year, up to +20%, for each year of previous work experience. This is a permanent correction to your monthly salary and (usually) is automatically increased by +1% on the anniversary of your employment at the IFJ. :) Depending on available documentation, years working towards a PhD may count towards this total.
